Responsibilities:

  • Identifies Administrative needs and develops appropriate solutions or recommendations such as but no limited to: welcoming visitors, applicant walk-ins, cold calls, etc
  • Processes all incoming resumes/applications and other documents by fax, email or conventional mail and distributes as appropriate
  • Assists the Recruiters with all Direct Hire data entry
  • Confirms employee joining information to include, date, port of call, ship, position, airline, and confirms same with appropriate scheduler
  • Follows up and assists in the confirmation of travel, lodging and transportation for the Recruiters
  • Develops and provides reports as needed on the Global Candidate Gap pool
  • Administers and monitors the Shipboard Employees Referral programs.
  • Post and maintains position posting on numerous job boards
  • Liaisons with operations on the approval process for candidates requiring a second interview
  • Prepares and submits expense reports for all candidates traveling to office for interviews
  • Coordinates meeting and develops agendas as required

Qualifications:

  • Working knowledge of computers, Internet access, and the ability to navigate within a variety of Software packages such as Microsoft Software to include Excel, PowerPoint, Access and Word
  • Working knowledge of general office machines such as 10-Key Adding Machines, Fax machines, Copy Machines, Scanners, etc.
  • Knowledge of applicable immigration and visa requirements related to seafarers in various geographical areas
  • Ability to effectively communicate verbally and in writing, to resolve problems and negotiate resolutions in a multinational environment consisting of department heads, managers, coworkers, shipboard employees and outside vendors
  • Ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from, management, co-workers, and shipboard employees
