Purpose of Position

The HR Assistant is ultimately responsible for all French HR-related activities in a clear defined set of vessels (operation). Moreover, the HR Assistant is the core HR partner to the Senior Officers onboard all ships within the operation area, and acts as an adviser in HR-related matters and in support of Viking’s Employee Performance Review processes. The HR Assistant reports to the Senior Manager Human Resources.

As this is a maternity cover, we are looking for someone starting on 1st April for a 6 month contract. This role is based in our Operational Head Office in Basel, Switzerland.

RESPONSIBILITIES

  • Manage HR Administration and wellbeing of crew in an effective & compliant manner maintain employee records (incl. interns and apprentices)
  • Prepare contract documents for employees, employment declaration (DPAE), collect and follow up the insurances matriculation documents (CPAM, prévoyance et complémentaire santé)
  • Support with visa applications
  • Organize medical visits and follow up their validities length
  • Prepare training files and send request refund to our tax collector (OPCA Transport)
  • Support senior manager HR in agreements writing, employee committee (Comité d’entreprise) and representatives (Délégués du personnel) meetings organization, adaptation of HR documents
    according to French legislation and production of social reports
  • Gather all HR-needs of responsible area and initiate necessary actions in agreement with Senior Manager HR and Corporate Operations Manager (COM)
  • Ensure and control that needed number & quality of crew for assigned operation is provided in time by recruiting
  • Maintain close business relations with the responsible core team
  • Maintain business contacts with recruiting & payroll department
  • Analyze terminations / turnover data and initiate appropriate actions in coordination with operations
  • Act as employee relations agent for assigned area to ensure compliance
  • Control staff satisfaction and initiate action to improve in coordination with operations
  • Support responsible Operations Manager with deployment of management positions
  • Coordinate staff planning process at beginning of season together with Core Team
  • Coordinate employee performance review activities in area
  • Supports the onboard Senior Officer with the HR administration and vacation planning
  • Support the recruiting team with recruiting events
  • Support the trainings department in the organization of the season start training
  • Conduct Ships visits to foster the Core Team with the onboard management and crew performance review

QUALIFICATION PROFILE

  • Graduated education or professional experience in HR in the hotel / tourism industry in France
  • Very good French and English skills (written and verbal), other languages are an advantage
  • International experience / experience on a ship is an asset
  • Excellent computer knowledge (MS Office), administrative experience
  • Excellent organizational and communication skills
  • Ability to work independently, service-oriented and guest focused
  • Positive personality, organized, flexible, team player, creative, stress resistant and resilient
