410.0 Receptionist

410.0.a Section 402 General Job Requirements for all Hotel Crew is part of this job description and should be read and understood.

410.0.b Reporting to: Guest Relations Manager

410.0.c Primary Objective of Position:

  1. To provide guests with prompt, friendly, informative and personalized service at the Reception Desk
  2. Maintains reception area to ensure that it is presentable, clean and orderly at all times
  3. This position can be interchanged at any time during the contract with that of the International Host/ess and that of the Receptionist – see job descriptions for these positions.

410.0.d Major Areas of Responsibility

.1 Reception Desk

  • Ensuring that all guest requests, inquiries and concerns are responded to promptly.
  • Providing personalized service by addressing guests with names
  • Answering questions about shore excursions, ports of call and cruise
  • Resolving guest concerns immediately and/or refers to department head
  • Assisting in preparing guest paperwork is in order.
  • Assists with guest billing and credit card registration
  • Assisting in preparing guest information materials is printed on time (daily program, menus, etc.)
  • Maintaining a cash floats for the Reception Desk and providing cash exchange and foreign exchange for guests
  • Maintains reception area to ensure that it is presentable, clean and orderly at all times
  • Maintains security of reception area by limiting access to authorized personnel

.2 Administration

  • Recordkeeping of maintenance requests.
  • Recordkeeping of the Reception Log
  • Recordkeeping of lost and found items.
  • Processes all required paperwork for guests promptly at embarkation/registration including obtaining cruise tickets, passports and all other required documentation

.3 Fidelio and Micros

  • Operating the point of sales system onboard.
  • Assisting with updating pricing and article information in the system
  • Assisting with importing and exporting financial and guest information into/out of the system.
  • Preparing guest boarding passes
  • Assisting with guest billing and credit card registration if required
  • Assisting with check-in and check-out duties concerning guests, including but not limited to, payment of accounts, registration credit cards and passports.
  • Assisting in preparing preliminary and final statements for guests and crew, and collecting funds thereof.

.4 Facebook

  • Updating together with the Travel Concierge staff once a day the Paul Gauguin Facebook account
  • Collecting images/videos which are to be provided by members of the hotel department and uploading these, if applicable.

.5 Assisting the Crew Purser when required

.6 Assisting with Port Clearances when required

  • Assisting in preparing documentation required to ensure ship’s clearances in ports.
  • Assisting during ship’s clearances.
