PURPOSE OF POSITION

The Manager Purchasing & Supply Chain Operations is responsible for ensuring that the ships purchase orders of the Portuguese fleet of river vessels are fulfilled on time and within policy and budget guidelines. The key focus will be on ensuring delivery consistency, cost and process adherence, loading operations, as well as general ship support.
In addition, the Manager Purchasing & Supply Chain Operations works closely with Strategic procurement to identify, source and contract products at our local vendors. This is a newly created role, hence, responsibilities and scope may change.

The Manager Purchasing & Supply Chain Operations is the first point of contact for the vessels in all aspects of Supply Chain Management, as well as for our vendors in regards to daily operational business. 

The Manager Purchasing & Supply Chain Operations will report directly to the Manager Logistics and F&B Controlling, and will be located in Porto, Portugal. Starting date would be asap.

RESPONSIBILITIES

  • Identifying new potential suppliers, agree and negotiate terms and conditions
  • Generate Purchase Orders based on ship requisition requests and manage adjustments (quantities and quality) in adherence to budget guidelines and Inventory in liaison with onboard Management
  • Cooperate closely with the onboard operations team and local vendors on resolving day to day operational issues
  • Evaluate ships feedback and communicate with the vendors to ensure operations according to Viking standards
  • Support the ships in case of deviations, delayed deliveries or emergency orders, to ensure the ships have all the supplies they need and to work with both the operations teams and our vendors to eliminate potential root causes for deviations, emergency orders, excess spend and waste
  • Work closely with Strategic Procurement to define product specification together with the Onboard and Culinary teams
  • Identify products and vendors
  • Support Strategic Procurement in vendor negotiations and contracting
  • Help identify alternative and local vendors
  • Ensure all proper documentation is in place to support the company’s financial accounting process
  • Evaluate ships feedback in Liaison with Purchasing & Culinary Department   
  • Support the Manager Logistics & F&B Controlling in maintaining a clear and documented system of defined product specification and Master Data
  • Manage a small warehouse

QUALIFICATION PROFILE

  • Background in the F&B industry, preferably bachelor`s degree in hotel management, accounting or business administration or equivalent work experience
  • Minimum 2-5 years of relevant job experience
  • Excellent English skills (written & verbal), Portuguese (written & verbal)
  • Strong IT Skills (MS Office, MS Excel) 
  • Familiar with using purchase ordering or warehouse management systems
  • Able to work within an environment of rapid change (Change Management) 
  • Must have analytical skills to analyze data and produce meaningful reports
  • Ability to effectively challenge and influence Operations to ensure adequate cost control and Purchasing practices
  • Must be willing to be available on-call during unusual business hours in unusual circumstances
  • Periodic weekend or evening work is expected
  • Open-minded and flexible with interpersonal skills
  • “Can-do” attitude with tenacity to find out information as well as tactful, diplomatic approach
  • Proactive, self-starter willing to do what is needed to complete a task

Language Requirements

Good knowledge of the English language is required.
