Your Purpose
The Development/Construction Project Administrator will provide administrative and coordination support to the Owner’s project management and development teams across all phases of planning, design, construction, and close-out. This role serves as a critical point of communication between consultants, contractors, vendors, and internal stakeholders to ensure timely delivery, documentation accuracy, and successful execution of development projects.
Your Impact
- Assist in the preparation, review, and tracking of contracts, purchase orders, and change orders with contractors, consultants, and vendors.
- Maintain and update project documentation, including submittals, RFIs, meeting minutes, drawings, reports, and logs.
- Support scheduling and coordination of project meetings, site visits, inspections, and other key activities.
- Track project schedules, budgets, expenditures, and payments; support invoice review and processing in collaboration with accounting and project managers.
- Ensure all project files (digital and hard copies) are organized and compliant with internal standards.
- Liaise with contractors, consultants, and internal departments to facilitate communication and timely resolution of issues.
- Assist in preparing monthly reports, presentations, and status updates for internal and external stakeholders.
- Monitor permit and compliance tracking, including updates from regulatory agencies and authorities having jurisdiction.
- Support project close-out activities, including gathering as-builts, warranties, lien waivers, and final documentation.
- Provide administrative support to the development/construction team, including correspondence, scheduling, and document control.
- Provide any needed documentation to corporate departments, as procurement, HR, etc. to manage working permits and resolution of any administrative issue related to the construction team
Your Journey so far
- Bachelor’s degree in Construction Management, Architecture, Engineering, Real Estate Development, Business Administration, Accounting, or a related field preferred.
- Minimum 3–5 years of experience in construction administration, development coordination, or related field, preferably on the Owner’s side or with a real estate developer.
- Familiarity with construction processes, terminology, and documentation.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with project management software (e.g., Procore, Primavera, MS Project, or similar) is a plus.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Detail-oriented and proactive with a problem-solving mindset.
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Skills:
- Experience working on large-scale commercial, mixed-use, infrastructure, or public-private development projects.
- Knowledge of permitting and construction regulatory processes.
- Familiarity with contract administration (AIA, FIDIC formats or equivalent).
