Your Purpose
Working under supervision of the Retail Planning & Fulfilment Manager (RP&FM), the Order Management Specialist, Boutique carries out the procurement, fulfilment and follow-up processes to ensure, in the correct time order, availability of stock in the shops onboard and warehouse to satisfy customer demand and to significantly improve onboard revenue.
Your Impact
- Work closely with the designated business unit, under the direction of the RP&FM, to ensure that each area of business is optimized, in order to deliver the best possible revenue performance whilst minimizing costs.
- Take the necessary master order proposals from the planning team or category manager and action purchase orders in line with the agreed retail global calendar and product life cycle.
- Ensure that purchase orders are approved by the necessary person in line with expectation.
- Ensure that stock needs on-board each ship are met in terms of implementing each order in line with the overall operational calendar and ship feedback for the specific category, to ensure the correct quality and quantity, time, and location relevant to each ship and area of operation. Problem solve or react as needed to specific short-term requests to enhance business potential in line with RP&FM direction.
- Constantly communicate the correct operational flow processes with the ship retail team, planning team, accounting team and category managers to ensure that orders are followed up in terms of fulfilment level, updated PO details, point of delivery, discrepancy and invoice closure.
- Ensure consistently well-maintained communication processes are in place by liaising with designated suppliers, accounting, and ships to enhance supply chain process, discrepancy management and invoicing issues.
- Ensure that stock levels are in line with sell-through and projected customer demand at all times and proactively propose improvements and corrective actions to the RP&FM if needed.
- Inform the RP&FM and relevant stakeholders of any issues in respect to fulfilment, variances and delivery finalization.
- Ensure that all purchase orders are placed through either MMS or Crunchtime to the necessary timescale requested by the RGC or by category management. Update purchase orders with confirmed or changed quantities as per supplier confirmation.
- Inform ships about delivery of purchase orders in line with communication guidelines.
- Ensure agencies have provided the customs documents for delivery.
- Solve incidents of loading and price verification with the ship and the provider, and work with the accountancy team to ensure all orders are finalized as quickly as possible.
- In line with initial category manager direction, create articles into the system using the correct data from suppliers, and ensure that missing or incorrect data is actively corrected.
- Organize and co-ordinate stock transfers, landing manifests and returns to vendors in line with RP&FM instruction.
- Support other parts of the retail planning & fulfilment functionality as required to ensure an efficient operation.
- Problem solve with external stakeholders to minimize delivery disruption, including agents, logistics team, accountancy team and other internal stakeholders.
- Use the correct system tools and actively seek to improve knowledge and capability of these tools.
- Ensure correct administration of all data in the database.
Your Journey so far
- Fluent English. Italian is an advantage.
- Further education preferable in Business Economics, Supply Chain, or Procurement.
- Excellent knowledge of Excel. Knowledge of most common Business Intelligence packages is an advantage.
- Experience in logistic process.
