Key Responsibilities

The Assistant Documentation Manager plays a key role in delivering Real Hospitality. Real Service. by supporting accurate, compliant, and timely guest documentation and property management systems to ensure smooth embarkation, clearance, and voyage operations.

Working closely with the Documentation Manager and Guest Services leadership, this role ensures data integrity across all documentation and guest-facing systems while providing exceptional guest service and supporting operational excellence in line with Princess Culture Essentials and overall operational strategy.

  • Ensure compliance with MSPM policies, HESS‑MS, and all applicable internal and governmental regulations at all times.
  • Support the Documentation Manager in maintaining accurate and timely Assembly/Muster Station checklists, including Wayport and Muster Station X documentation.
  • Assist with Safety Essentials activation, public health compliance, and outbreak response coordination as required.
  • Manage daily operations of OceanHospitality (PMS), Ocean Immigration, Ocean Safety, and SHIPSTAR, ensuring data accuracy and system synchronization.
  • Conduct daily system checks, audits, and cross‑platform validations to maintain data integrity.
  • Own Medallion operations, including activation, exception handling, fulfillment, and inventory reconciliation.
  • Proactively manage Medallion and non‑perishable inventory to ensure operational continuity.
  • Monitor and resolve system incidents using platforms such as ServiceNow, collaborating with shoreside teams as needed.
  • Frequently monitor communication channels (Teams, Slack) and escalate system or operational issues.
  • Prepare and distribute in‑transit voyage communications and accessibility‑related arrangements for guests.
  • Assist the Documentation Manager in maintaining accurate guest records in OceanHospitality and SHIPSTAR, including Wayport joiners and leavers.
  • Support preparation, distribution, and transmission of all arrival and departure documentation (APIS, ENOAD, DataShare, Landing Orders).
  • Coordinate alongside leadership with port officials and port agents to ensure timely vessel clearance.
  • Support preparation of non‑revenue lists and Fleet Cabin utilization reporting.
  • Maintain strict confidentiality and data integrity for all Personally Identifiable Information (PII).
  • Support team innovation, system training adoption, and best‑practice implementation.
  • Complete all mandatory and structured training programs aligned with career development.
  • Assist Guest Services leadership and teammates as operational needs require.
  • Promote teamwork, accountability, and continuous improvement across Guest Services operations.


Skills, Knowledge & Expertise

  • Previous experience in an administrative, documentation, or operational support role within hospitality, cruise, or customer‑facing environments is preferred.
  • Demonstrated track record of consistent performance and delivery of role expectations within structured, service‑oriented environments.
  • Proven ability to handle confidential information with discretion and maintain a high level of accuracy, particularly under time‑sensitive conditions.
  • Exposure to embarkation/disembarkation processes, documentation management, or compliance‑driven operations is strongly preferred.
  • Fluency in English (both spoken and written) is required.
  • Strong communication skills, with the ability to convey complex information clearly, professionally, and confidently to a range of stakeholders including guests, colleagues, and leadership.
  • Ability to listen actively, demonstrate empathy, and escalate issues appropriately in line with company policies and procedures.
  • Excellent administrative and organizational skills, with a strong attention to detail.
  • Computer literacy, with the ability to quickly learn and effectively use documentation systems, property management systems, or similar platforms.
  • Ability to manage multiple priorities and perform efficiently in high‑volume, fast‑paced operational environments.
  • Demonstrated professionalism, integrity, and alignment with organizational values and service culture.
  • Ability to lead by example, collaborate effectively within a team, and contribute to a respectful and inclusive work environment.
  • Adaptability and willingness to embrace change, support continuous improvement initiatives, and respond to evolving operational needs.
