Job Summary
The Facilities Manager is expected to be the focal point of operational excellence on board. Their role is to guarantee that all ship facilities (guest areas and public spaces, crew zones, technical & non-technical systems) are maintained to the highest standards of functionality, safety, and comfort for both our guests and crew, operating safely, effectively, and aesthetically. This vital position demands your leadership in overseeing all facets of ship maintenance, which encompasses mechanical, electrical, plumbing, and HVAC systems.
Key Responsibilities
Leveraging your experience in Facilities Management, you will guide the team in the planning and execution of maintenance for all public spaces, including restaurants, bars, balconies, and cabins, ensuring that our high customer service standards are upheld. You will be accountable for ensuring that maintenance tasks are performed in accordance with all applicable regulations, and that comprehensive maintenance records are maintained. In short:
• Oversight, prioritisation and coordination of on-board hotel maintenance
• Supervision and training of hotel maintenance staff
• Coordination with Guest Services and Hotel Service Engineer to ensure high standards of hotel maintenance. Maintain regular communications with GS to monitor outstanding and completed jobs.
• Ensure hotel maintenance is conducted with limited impact to guest experience
• Responsible for ordering and issuing appropriate requisitions.
• Awareness of maintenance budgets
• Responsible for carrying out inventory checks.
• Responsible for checking deliveries of ordered materials, especially if delivered material is in accordance with ordered quantity and standard.
• Responsible for the correct storage and safekeeping of materials, in line with Company policies.
• Liaise directly with Hotel Project Manager on ‘special projects’ / provide weekly reports on completed / outstanding general maintenance work
• Conduct appraisals for Maintenance Dept.
Team Leadership:
Oversee, organize, and guide a team of maintenance personnel, the Facilities Manager is responsible for planning and executing maintenance for public spaces, dining establishments, bars, and cabins, while ensuring that high standards of customer service are upheld. Establish performance goals, provide coaching and hands-on training, mentor technical skills and safety practices, and carry out performance evaluations.
Collaboration:
The Facilities Manager collaborates closely with the Chief Purser, Chief Housekeeper, Hotel Service Engineer and technical departments onboard, as well as with shore teams, to ensure efficient maintenance operations. Coordinate daily with Guest Services to manage maintenance ticket triage and provide status updates. Engage with the Chief Engineer/Technical Department regarding shared systems interfaces (such as HVAC balance in hotel areas, plumbing risers, and electrical distribution access) while maintaining accountability for the outcomes in hotel spaces. Cooperate with Housekeeping, Food & Beverage, and Entertainment to plan work schedules and reduce business interruptions. Communicate with the Deck Department/Staff Captain solely for access or safety coordination concerning outer-deck areas; the responsibility for executing tasks on outside decks lies with the Deck.
Problem-Solving:
The position demands excellent problem-solving abilities to tackle the various challenges that come up in a changing maritime setting.
Preventive & Corrective Maintenance:
Plan and oversee preventive maintenance schedules across all systems (HVAC, refrigeration, ventilation, plumbing, electrical, fire & safety, spa / pools, etc.). Ensure prompt corrective action for any breakdowns.
Oversight of Technical Areas & Systems:
Supervise specialist areas such as refrigeration & cold storage, HVAC, ventilation, spa/water features, galley equipment, laundry, etc. Ensure that engineers technicians perform to standard.
Quality & Guest Satisfaction:
Conduct regular inspections of guest/public and crew areas. Ensure facilities are clean, safe, in order, and aesthetic. Respond to guest feedback or complaints about facility issues.
Safety, Hygiene & Compliance:
Ensure compliance with maritime safety regulations (SOLAS, class society rules), public health (e.g. USPH or EU equivalents), environmental regulations. Oversee inspections, certifications, drills related to facilities and safety equipment.
Planned Maintenance System & Inventory:
Maintain and ensure accuracy of the PMS (Planned Maintenance System). Monitor spare parts, tools, materials. Order supplies and ensure adequate stock. Cost control.
Budget & Cost Control:
Prepare and manage budgets for facility maintenance and improvement projects. Monitor expenses. Evaluate cost-benefit of repairs vs. renewals.
Project / Refurbishment / Dry Dock Support:
Plan and coordinate facility upgrade projects, refurbishment works, surface finishes, etc. Work with dry dock periods if applicable.
Reporting & Communication:
Provide regular reports to senior leadership (Hotel Director, Chief Engineer) on facility condition, work orders, budget status, and outstanding maintenance issues.
Essential Skills
To excel in this position, you will require: Significant experience in facilities management, particularly in cruise ship operations and maintenance. Expertise in overseeing mechanical, electrical, plumbing, and HVAC systems. A solid understanding of maritime safety regulations and compliance obligations. Fluent English communication skills, allowing for clear and effective interaction with various teams. Outstanding organizational and leadership skills to manage multiple projects and departments. Technical Knowledge: A deep understanding of the complexities of managing facilities in a
maritime environment, including knowledge of safety standards and compliance requirements, is necessary
Communication Skills: Fluent English communication skills are crucial for effective interaction with multicultural teams onboard.
Organizational Skills: Exceptional organizational and leadership abilities are required to oversee multiple projects and departments effectively.
Qualifications & Experience
Working as a Facilities Manager on a cruise ship is not just a job; it’s a lifestyle. The role involves living and working at sea, which can be both rewarding and challenging. Managers often work long hours and must be prepared for the unique environment of a cruise ship, including the need for adaptability and resilience in a fast-paced setting.
- Relevant degree or diploma in Engineering, Facilities Management, Hospitality Engineering, Marine Engineering or equivalent.
- Significant shipboard experience preferred (or in large floating hotel / resort with similar scale).
- Strong technical knowledge in HVAC, refrigeration, electrical, plumbing, fire & safety systems.
- Experience managing preventive maintenance; proficient with a Planned Maintenance System (PMS).
- Leadership experience with a multicultural / multi-disciplinary team.
- Good knowledge of maritime safety & regulatory standards, hygiene / public health.
- Strong organizational, planning, problem solving, communication skills.
- Fluent English: any additional languages are a plus.
Inventory & Spare Parts Management
Maintain inventory of critical spare parts and consumables for accommodation technical equipment. o Forecast spares usage (based on maintenance history), order through procurement / stores. o Ensure proper storage, labeling, stock control, avoiding wastage or stockouts.
- Budgeting & Cost Control
- Plan and manage budgeting for accommodation technical maintenance. Estimate costs for repairs, upgrades, replacements.
- Monitor expenses, seek opportunities to improve deficiency and reduce unplanned maintenance.
- Report on variances, recommend cost-elective solutions.
- Refurbishment / Projects & Upgrades
- Participate in planning and delivering refurbishment or upgrading projects for accommodation areas (e.g., cabin refits, new furniture, surface finishes).
- Ensure technical specifications, aesthetics, safety, and durability are met.
During dry-dock or renovation periods, ensure accommodation technical tasks are properly scoped, scheduled, and executed.
- Reporting, Documentation & Systems o
- Maintain accurate records: work orders, defect logs, maintenance history, equipment manuals, drawings/specs.
- Provide regular reports (weekly/monthly) to senior management: status of open defects, preventive maintenance compliance, cost/spares usage, feedback trends from guests/crew.
- Use failure / reliability data to drive improvement.
Other Duties
Flexible work hours must be ready to respond in emergency / breakdown situations outside norms.
Must participate in safety drills & be aware of emergency procedures.
Physical demands: climbing, inspecting equipment, work in variable environmental conditions (heat, humidity, wet, etc.).
Perform reasonable duties within Hotel Department as directed by the Hotel Director
You maybe called upon to perform ad-hoc duties when required, at Master’s orders
Support dry-dock/layup projects for hotel spaces as assigned.
