As a Documentation Purser, you will be responsible for preparing all the documents needed for the ship’s clearance from Port Authorities. You will also ensure that all the documentation needed for Immigration and Customs is in order, develop and maintain a working relationship with customs and immigration officials and have a strong current knowledge of the laws and procedures in each port and immigration requirements for foreign guests.
* Relevant experience is essential and ship experience is preferred
Essential Functions:
- Strive to become a good coordinator for the ship to the shoreside personnel (Port Agent, Customs & Immigration at any Port of Call).
- Prepare all the necessary documents for ship’s clearance.
- Responsible for meeting the Port Authorities with the Ship’s Agent to clear the ship.
- Gather immigration documentation when guests embark and then submitting problem documents to the Hotel Director and Port Agent for their approval or denial
- Audit immigration information entered in computer system by pier staff. Collect missing information by directly contacting guests.
- Ensure that the passenger count is balanced, export manifests and disseminate arrival manifests to the corporate office, customs and Port Agent.
- Coordinate with the Port Agent whenever there is a medical emergency.
- Ensure that all landings are properly documented either through AMS Editrade system or regular form.
- Prepare the Non-Revenue Manifest to be sent to the Chief Financial Accountant.
- Responsible for coordinating with the corporate office regarding Reduced Rate Sailing for crew members, vendors, etc.
- Assist the Port Agent and the Customs & Immigration Officials for the Ship’s clearance.
- Upon receiving clearance from Customs & Immigration Officials, inform the Hotel Director, Guest Services Manager, Housekeeping and Inventory.
- Ensure smooth processing of the guests on the Immigration area and assist guests who left behind belongings on the ship in coordination with Housekeeping or Guest Services Officers.
- Once the ship is clear to embark new passengers, Documentation Purser proceeds to the terminal to gather the foreign passports and ensures that every guest has proper documentation and visas. If there are guests with no proper documents, Documentation Purser must inform the Hotel Director and Port Agent for their approval or denial.
- Coordinate with Security to ensure that all guests are onboard
- Inform Chief Financial Accountant and Hotel Director that all guests are onboard.
- Ensure that the passenger count is balanced and inform the IT Officer so that they can send the ENOAD file to Customs.
- Email passenger, crew count and manifest to the Customs, Captain, Corporate Office and Port Agent.
- Prepare paperwork for next port clearance.
- Ensure that the paperwork necessary for clearance is organized and assist the Port Agent and the Customs & Immigration Officials.
- Upon receiving clearance from Customs & Immigration Officials, inform the Hotel Director, Guest Services Manager, Housekeeping and Inventory.
- To be on standby at the Deck 3 gangway for any guests queries regarding disembarkation.
- Coordinate with the AMOS Controller and Inventory Controller regarding landings If the landings are not to be returned to the ship, Documentation Purser is responsible for preparing the landings and inputting the proper information into the AMS Editrade system.
- Once finished, the information should be sent to the IT Officer and the Port Agent.
- Prepare paperwork for WPB clearance.
- Update the Pursers Logbook for the guest passenger count and upload the files for the Embarked, Disembarked and No-Show guests.
- Consolidate all the comment card information from Pier Staff and input them into an Excel file at the end of the month and send to the Hotel Director
