Position Summary:

Responsible for maintaining all shipboard personnel files for both brands. This includes high-volume filing of medical reports, disciplinary actions, sign on agreements, sign off agreements, master hearings, etc.

Responsibilities:

  • Provide and maintain tracking of all files both hard copy and/or electronic as requested by HR management and other external departments such as legal and risk management.
  • Research and prepare terminated files to send to off site storage and/or destroy redundant files in accordance with company guidelines.
  • Use of employee database (Enterprise One) to access and review employee records.
  • Assist with special projects as needed.

Qualifications:

  • Education required: High school degree required or equivalent.
  • Previous filing experience (alpha & numeric), customer service and office experience required.
  • Must be computer literate.
  • Detail oriented, organized and able to work independently.
  • Accuracy and speed are essential.
  • Must be able to operate fax, copier and scanner.
  • Must be able to stand for extended periods of time, lift file boxes up to 25lbs.
  • Flexible 8 hour work schedule.
  • Must be able to communicate and understand English, at least minimum communication skills to speak, read, and write to interact with internal customer.
  • Ability to operate a fax, copier, AS/400 and other office equipment.
  • Have strong organizational and detail oriented skills.
  • Proficiency in pc, knowledge of Microsoft programs such as Word, Excel, internet and intranet.
  • Ability to communicate in English; have sufficient verbal and written English communication skills to address business partner requests from both shore side and shipboard.
