Key Responsibilities

Accurately complete immigration, customs and logistics paperwork in a timely manner, declaring all necessary items onboard and producing daily stock reports when required. Produce passenger and crew arrival and disembarkation reports for each port authority in their required format, adhering to strict deadlines, and distribute passenger information to other relevant departments onboard. Ensure efficient arrival and departure clearance.

Act as the main point of contact for port authorities during ship visits and ground agents when in port, building professional relationships. Manage the smooth operation of passport control and immigration for passengers and crew. Ensure all documentation including passports and landing cards comply with port and visa regulations, all health requirements are met, and strict port deadlines are adhered to prior to arrival. Oversee embarkation procedure and supervise the check in process to confirm that all passengers and crew are onboard. Ensure passports are stored safely and securely and are presentable to authorities on request. Ensure all passenger data held on board is complete and accurate.

Ensure immigration and local requirements affecting the onboard operation are shared onboard in a timely fashion for effective planning of resources and to have information readily available for passenger communications.

In the event of a medical emergency, arrange for an ambulance to meet the ship in port and book flights if required for affected passengers.

Assist daily with front of house office coverage and support the reception team during low demand itineraries.

Key Skills and Experience:

  • Proven office administration experience, preferably in the hotel or cruise ship industry
  • Excellent computer skills, proficient in the use of MS office software
  • Excellent planning and organisation skills
  • Knowledge of immigration procedures is highly preferable
  • Good command of written and spoken English

Please note that the Proficiency in Survival Craft Rescue Boats (PSCRB) and Personal Survival Techniques (PST) STCW's are a requirement for this role. Further information will be provided should your application should be successful.

Work Experience Requirements

All applicants must have previous experience in working on a Cruise Ship, in a 4/5* Hotel or in an Upscale Restaurant.
