Receptionist (Season 2024)

We are looking for a Receptionist to work onboard River Ships during winter Season 2024:

Objective / functional objectives

Customer perspective

• Achieving guest satisfaction and standards in accordance with the specifications of the catalogue of services (CoS)
• Financial perspective
• Adhering to consumable cost, budget, and employee plan of action
• Process perspective
• Assuring compliance with the processes and quality controls in accordance with the Hotel Manager handbook, to be able to offer consistent quality in his / her department
• Ensuring that employees are well-trained, are treated decently, encouraged, promoted and continuously developed
• Ensuring the lowest possible employee fluctuation
• Actively support talents with potential in the professional career and encourage professional education and development

Responsibility
Strategy and planning
Primarily responsible for:

• Providing the best possible running of the operational organization at the reception and shop
• Establishing standard & quality assurance for the concept of hygiene to comply with the hygiene regulations (HACCP)
• Leadership and coordination

Jointly responsible for:

• Training of supervised crew members in dealing with guests regarding friendliness, assistance, and service
• Assuring professional cooperation between all departments on the vessel
• Coordinating and controlling of the working schedule, days off and holiday planning of the crew
• Performing the annual employee feedback qualification in accordance with the Hotel Manager
• Leading and motivating the reception crew
• Coordinating and controlling of the own working schedule
• Strictly observing and controlling of the predefined crew working hours

Processes and procedures
Primarily responsible for:

• Maintaining personal quality checks in his / her department to ensure the required guest satisfaction
• Correct forwarding and filing of all orders of the hotel department in cooperation with the Hotel Manager
• Enforcing hygiene and impeccable cleanliness in his / her department and the pre-specified appearance in his / her area
• Organizing and conducting a smooth check-in and check-out of guests
• Tracing of passenger requests at the reception
• Providing courteous and friendly passenger service at the reception

Jointly responsible for:

• Controlling the delivery of goods and delivery notes
• Ensuring the careful and proper handling of all working materials and equipment (especially IT equipment)
• Organization and administration
• Organizing the pre-opening / closing phase of the vessel
• Supporting the general and administrative relief of the Hotel Manager
• Gathering and analysing inventories as per instruction
• Ensuring the smooth running of the cashless system (Resco)
• Conducting and controlling of the accounting of each outlet (Z / ZZ closing)
• Preparing the Night Auditor report, daily / per cruise / monthly administrative work in accordance to the instruction of the head office Basel

Communication and representation

• Taking over incoming mail and distribute correctly. Immediate sending of outgoing mail.
• Ensuring conformity of predefined appearance / uniformity requirements and proper body care of his / her employees
• Immediate reporting of special incidents to the Hotel Manager
• Attending all official events on board according to the instructions of the Hotel Manager
• Ensuring compliance with the active and passive information flows in accordance with the organigram
• Coordinating proper information flow on board

Control and reporting

• Controlling of the costs and adherence to the budget
• Assuring the continuous monitoring and controlling of the costs and target performance (budget)
