ISM Coordinator for Mitsui Ocean Cruises

We are looking for ISM Coordinator ( Ship's Secretary ) for cruise vessel MITSUI OCEAN FUJI, embarkation is ASAP, contract 6 months +/-1, required all valid STCW Certificates ( basic) and Certificates for Passenger vessels as per STCW Reg.V/2

Additional Duties

The ISM Coordinator will work closely with the Chief Engineer and Staff Captain for both the Deck and Engine departments. Their duties will include the following:

Certificates 

• The organisation and filing of Ships’ Certificates and their subsequent inclusion into ShipSure on behalf of the Staff Captain.

ISM

• Maintaining the signed version of the SMS and ensuring it is kept up-to-date.
• Maintaining the vessel’s electronic filing system as per V-HSSEQ-057 paragraph 3.4.
• Retention and filing of completed SMS Forms for Deck and Engine departments including but not limited to
• Permits to Work 
• Contractors Familiarisation forms
• Collate and send monthly and quarterly SMS reports.
• Maintain ships’ drawings.

HR

• Assist Staff Captain and Chief Engineer with the administrative aspect of the appraisal process for Deck and Engine Officers and Crew in alignment with V.Ships and Mitsui Ocean Cruises policies. 
• Ordering Uniforms for Deck & Engine Officers where relevant 
• Assist the sign-on/off process of Deck & Engine personnel including but not limited to
• Ensuring required paperwork is received

Meetings

• Prepare for, attend and minute meetings as required by Chief Engineer or Staff Captain, including wider company meetings such as management meeting

Inspections

• Prepare checklists and subsequently administer the following inspections
• Weekly Captain’s inspection
• Assist Staff Captain and Chief Engineer with the administrative aspect of the ShipSure Inspection Manager module.

Other

• Administer the Vessel’s hotel defects system 
• Attend passenger social events as directed by the Head of Department.
• Partake in inspections, trainings and meetings as directed by the Head of Department.
• Other tasks pertaining to departmental operations as directed by Head of Department.
